Selling to HVAC companies: how to find them and reach the owner
To sell to HVAC companies, treat them as busy, well-reviewed small firms whose owner still reads the company inbox: in our data 20% of sellable HVAC contractors list no website, so most can be reached by email, and the median HVAC listing carries 47 Google reviews, which makes review count the most useful filter you have. Email the ones with a verified address, call the rest, and time your pitch around the heating and cooling seasons.

How many HVAC companies are there?
The US Census Bureau does not count HVAC on its own. HVAC shares NAICS 238220, Plumbing, Heating, and Air-Conditioning Contractors, with plumbers. County Business Patterns counts 111,207 employer establishments under that code for 2023, and 89% of them have fewer than 20 employees (US Census Bureau, County Business Patterns). Census Nonemployer Statistics adds 178,663 businesses with no payroll in the same industry group for 2023 (Nonemployer Statistics 2023). So most HVAC companies are small, and in most of them the person who signs the check also does the estimates.
Map listings count more than Census does, because they include one-person shops and businesses listed under several categories. One Maps data vendor reports indexing 73,277 US HVAC contractors (Scrap.io).
The 67Leads warehouse holds 11,035 sellable HVAC contractors right now. That is a count of the listings we have collected and graded against the HVAC trade, not a census. The HVAC lead list and the HVAC statistics page break it down by state and city.
Who sells to HVAC contractors
HVAC is one of the trades that almost every type of business-to-business seller names. The main groups:
- Cold email and appointment-setting agencies selling booked service calls, maintenance-plan sign-ups or replacement estimates. HVAC is a common test market; one r/coldemail poster described having "audited 399 HVAC businesses in Phoenix" (r/coldemail).
- Local SEO and review agencies. A homeowner with a broken air conditioner searches the map and calls a company listed there, so map visibility turns directly into booked jobs.
- Field-service software vendors selling dispatch, invoicing, pricebook and maintenance-agreement tools.
- Distributors and manufacturer reps. Census counts 6,410 plumbing and HVAC equipment wholesale establishments in 2023 (US Census Bureau); their outside sales reps work territories of contractors.
- Commercial insurance agents writing general liability, workers' comp and commercial auto for crews with vans.
- Financing and lending partners that let a contractor offer monthly payments on a new system.
- Buyers of businesses. Home services is a common target for search funds and roll-ups. The 2024 Stanford search fund study counts 681 first-time search funds, with a record 94 launched in 2023 (Stanford GSB).
Each wants a different cut. An agency wants owners with a verified email. A review agency wants contractors with a weak rating or few reviews. A distributor wants every shop in a territory, email or not. The selling to HVAC contractors use case has the filters for each.

Why review count is the filter for HVAC
HVAC companies collect reviews at a rate few trades match. The median Google rating across rated HVAC listings is 4.9, and 25% of HVAC listings have 200 or more reviews. Only 6% have none.
A high median rating means the rating alone does not separate one contractor from another. The review count does. It tells you roughly how many jobs a company has done and how hard it works at asking for reviews:
- A contractor with hundreds of reviews already has a working marketing machine. Pitch something that protects or scales it: software, financing, recruiting, a second location.
- A contractor with a few dozen reviews is established but not dominant. This is the natural buyer for local SEO, review requests and ads.
- A contractor with under 10 reviews (20% of HVAC listings) is often new. New businesses need insurance, a website and their first marketing, and they have the least cash.
One cold emailer reported that "segmenting leads by Google review count genuinely improved our reply rates" (r/coldemail). In HVAC, where almost everyone is rated above 4.5, that segmentation does most of the work. Our Google review statistics for HVAC show the full spread.
How to reach an HVAC owner
Email first, because most have a website
With only 20% of HVAC contractors listing no website, most have a domain and many publish an address. The catch is quality. 60% of the HVAC emails we could test sit on catch-all domains, where the mail server accepts everything and confirms nothing. Send to the verified group first and test the catch-all group in small batches. Our guide to verifying a lead list explains why the two behave differently.
Of the verified HVAC emails, 87% are not shared inboxes like info@ or service@. A named address is more likely to be read by the owner.
Use the owner's name
854 HVAC companies name an owner on their own site. Use the name in the greeting and in the subject line. Where there is no name, our guide to finding small business owner names lists where to look.
Call the no-website group
The HVAC contractors with no website are mostly reached by phone. 946 of them still have 10 or more reviews, so they are real, working businesses that never put up a site. That is the core list for a web designer.
Time it around the two seasons
HVAC has two busy seasons: cooling in summer and heating in winter. During a heat wave or a cold snap the phones ring all day, crews are booked out, and the owner has no time for a sales call. Between the peaks, in spring and autumn, the same owner is planning the next season, hiring, and looking at the numbers.
Practical rules:
- Pitch anything that needs a meeting, such as software, financing or an acquisition conversation, in the shoulder seasons.
- Pitch capacity, such as answering services, overflow dispatch or recruiting, just before a peak.
- During a peak, keep emails to a few lines that can be answered with a yes or no.
- The seasons arrive at different times across the country, so a national list is never all busy at once. Sort by state.
The search-term trap
If you search for "hvac leads", most results sell homeowner service requests to contractors, not lists of contractors. If you sell to HVAC companies, the terms that match your intent are "hvac contractor email list", "list of hvac companies" and "hvac company owners".
A plan for your first 100 HVAC contractors
- Pick one metro and pull every HVAC contractor there.
- Split by review count: 200 or more, 10 to 199, and under 10.
- Email the verified addresses in the band that fits your offer, using the owner's name.
- Call the no-website contractors, starting with the best-reviewed.
- Send the catch-all addresses in a small test batch and watch bounces before sending more.
- After 100 contacts, compare replies by band and double down on the one that answered.
Questions
How many HVAC companies are in the US?
Census County Business Patterns counts 111,207 employer establishments under NAICS 238220 for 2023, but that code also includes plumbers. Map listings, which include one-person businesses, count more.
How do I get a list of HVAC companies with emails?
Search by state or city on the HVAC lead list. Counts are free; 434 HVAC contractors currently have an email the mail server confirmed in our data.
Do HVAC contractors also do plumbing?
Many do. HVAC and plumbing share one Census code, and our grading marks a plumber that turns up in an HVAC search as adjacent rather than core, and the other way round. If you sell to both trades, de-duplicate by phone number before you send. Our guide to selling to plumbing companies covers the plumbing side.
